We are seeking an experienced Executive Assistant to deliver efficient secretarial and administrative support in a well-organized and timely manner.
The position will report directly to the company President, but will include support to three other executives as well.
It will include handling various tasks to streamline their work and communications.
As an individual contributor, this position provides personalized assistance, ensuring smooth operations and effective communication.
Responsibilities range from managing schedules and correspondence to organizing meetings and maintaining confidentiality.
This position requires someone who is proactive, extremely detail-oriented, and possesses exceptional organizational and communication skills.
Responsibilities
Act as the point of contact between the executives and internal/external clients
Undertake the tasks of receiving calls, taking messages and routing correspondence
Handle requests and queries appropriately
Maintain calendars, arrange meetings and appointments and provide reminders
Make travel arrangements and coordinate corporate travel programs
Take dictation and minutes and accurately enter data
Format information for internal and external communication from Executives - memos, emails, presentations, reports
Monitor office supplies and research advantageous deals or suppliers
Produce reports, presentations and briefs
Develop and carry out an efficient documentation and filing systems
Requirements:
Experience/Education
Four or more years of experience in an administrative role reporting directly to upper management.
High School diploma required.
Associates or Secretarial Degree preferred.
Skills and Abilities
Full comprehension of office management systems and procedures.
Excellent knowledge of MS Office (Word, Excel, PowerPoint, Office 365, Teams, SharePoint, etc.
)
Exemplary planning and time management skills.
Professionalism, punctuality, and dependability are essential.
Up to date with advancements in office equipment and applications
Ability to multitask and prioritize daily workload.
Excellent verbal and written communications skills
Discretion and confidentiality must be ensured
Physical and Working Conditions
