We have an opportunity for a top candidate to join Maryville College’s staff as the new Administrative Assistant Part-Time/Temporary for the Registrar’s Office.
This is a part-time, benefit eligible position that is expected to be available through November 2024.
This position centers on providing excellent customer service and serves as the primary initial point of contact for students, faculty, and staff.
Our mission is to foster a positive, student-centered, and student-focused support in the academic mission of the College.
Performs varied administrative, clerical, and business functions for the Office of the Registrar.
Responsible for maintaining accurate student academic records; interpreting and communicating Registrar policies and procedures to faculty, students, and staff.
Assures efficient and accurate delivery of functions and services of the Registrar’s Office.
Strictly follows FERPA requirements at all times.
Your primary job duties and responsibilities would include: Prepares senior degree audit summaries and tracks degree completion.
Maintains online College Consortium course registration, attendance and grades.
Assists with faculty attendance reporting and notifications.
Runs data checking VistaView reports to ensure accurate student records.
Updates student and faculty data on the Tartan.
Processes transcripts requests.
Assists with registration and enrollment verifications.
Process applications for readmission for the Academic Standing Committee.
Minimum qualifications for this job required are: Education required to ensure success in this position: High School diploma, or equivalent, required.
Experience required to ensure success in this position: 3+ years of experience as an administrative assistant, office manager, coordinator, or similar position; experience in a higher education institution, a plus.
Additional experience should include: Computer and data management experience Customer relations experience Special skills, knowledge and abilities: Working knowledge of FERPA practices Strong administrative organizational skills; attention to details Excellent public relations, customer service, and communication skills over the phone, in person, and in writing.
Computer proficiency and data management skills, expertise with Microsoft Outlook, Word, Excel, databases, required.
Self-motivation, follow through, and the ability to work independently without direct supervision.
Efficient work habits; ability to multitask while maintaining high standards of quality and accuracy.
Excellent interpersonal skills, including cultural sensitivity.
Strong problem-solving and analytical skills, leadership abilities, and the willingness and ability to take the initiative.
Ability to maintain confidentiality.
Demonstrated enthusiasm for providing support and working as part of a team.
Flexibility, ability to tolerate interruptions.
