Administrative Associate - Office of Investigation & Resolution - 2400000075 Administrative Associate - Office of Investigation & Resolution Market Range 04 The Office of Investigation & Resolution seeks a full-time Administrative Associate (Administrative Associate 2).

Reporting to the Executive Director of the Office of Investigation & Resolution, this position will be responsible for the administrative functions of the office, including: front-line customer service; answering the main office number; analyzing new information and responding calmly and thoughtfully; office budgetary tasks, including managing reoccurring office expenses and ordering supplies for the office staff (including in collaboration with the Office of Shared Services); maintaining records for the office, including completing human resource hiring/termination forms and updating personnel information; providing scheduling assistance; providing office IRIS/DASH support; providing program support for OIR initiatives; managing contract approval processes as needed; managing departmental email communications; assisting with office publications and/or annual reporting needs; assisting in the management of office data tracking (Microsoft Excel); and providing administrative support to the Executive Director.
Job Functions/Responsibilities: · Front Line Customer Services: o Answering the main office number; analyzing new information and responding calmly and thoughtfully; o Taking accurate and detailed messages; o Managing departmental email communications; o Assisting with office scheduling; o Supporting staff members in meeting deadlines.
· Office Budgetary Tasks: o Managing reoccurring office expenses and ordering supplies for the office staff (including in collaboration with the Office of Shared Services); o Maintaining records for the office, including completing human resource hiring/termination forms and updating personnel information; o Providing office IRIS/DASH support.
· Office Records Management: o Maintaining records for the office, including completing human resource hiring/termination forms and updating personnel information; o Updating the internal office manual; o Reviewing the office website for updates.
· Program Support: o Providing program support for OIR initiatives; o Managing office projects and deadlines; o Managing contract approval processes as needed; o Assisting with office publications and/or annual reporting needs; o Assisting in the management of office data tracking (Microsoft Excel); o Providing administrative support to the Executive Director.
Qualifications REQUIREMENTS: Required Level/Type of Experience: Experience in an office environment Education: High School Diploma or GED Preferred Level/Type of Experience: 1+ years experience working with IRIS/DASH Working with equal opportunity employment, discrimination, and/or Title IX policies Determining which matters require immediate attention and/or transfer to a supervisor Competencies/Qualifications: o Ability to demonstrate proficiency in Excel and Microsoft Office products; o Ability to track and enter data accurately; o Ability to manage conflicting priorities; o Ability to manage office projects and deadlines; o Ability to operate in an environment that addresses sensitive and confidential issues; o Ability to provide exceptional customer service and exercise sound judgment.
