Holston Conference Alcoa, Tennessee 37701 Full Time The Holston Conference is seeking an Administrative Coordinator who will be responsible for offering hospitality and administrative support for the Holston Annual Conference.
This includes but is not limited to providing guidance and directing visitors, receiving deliveries, and answering incoming calls.
This position also provides administrative support to Camp and Retreat Ministries with administrative duties related to the health and welfare programs of the Conference.
Key Responsibilities: Act as first point of contact for visitors, greeting and directing them as appropriate.
Answer and direct incoming telephone calls.
Maintain safety procedures and monitor building access via the reception desk (monitor logbook, issue visitor badges).
Receive, sort, and distribute all mail and packages received.
Ensure office supplies are stocked, and order replacements as needed.
Provide administrative support to Camp and Retreat ministries, including but not limited to, preparation of materials associated with registration process, maintaining camp database, and creating communications and correspondence.
Manage summer camp registrations, ensuring all information is received in coordination with site directors.
Responsible for running and balancing financial reports and completing deposits associated with camp registrations.
Provides administrative assistance in support of the benefit plans including but not limited to reconciles claims, processes benefit related payments, submits weekly eligibility file, assists with claim resolutions, ensures appropriate premiums are deducted from retiree accounts, processes monthly billing, and assist with claim resolution.
Primary support during the Open Enrollment period.
Perform other duties as assigned.
Qualifications: High school diploma is required.
Associate’s degree in a related field is preferred.
3 years of experience in an administrative role is required.
Solid working knowledge of Microsoft Office products (Excel, Outlook, PowerPoint, etc.
).
Excellent customer service skills.
Exceptional organizational skills with the ability to think proactively and prioritize work.
Ability to multi-task.
Able to use and maintain equipment: computer, printer, and copy machine.
Proven interpersonal skills, including ability to resolve problems, manage projects, or achieve appropriate solutions.
Excellent written and verbal communication skills.
Must be detail oriented and have a strong propensity for accuracy.
Able to hold confidence and deal appropriately with confidential material.
Knowledge of the United Methodist denominational polity and organizational structure and membership is helpful.
Physical Requirements: While performing the duties of this job the employee is regularly required to use hands to grasp, handle or feel.
The employee frequently is required to walk, sit, stand, talk, and hear.
The employee must occasionally lift and/or move up to 25 pounds.
